Email can become difficult to use when newsletters, receipts, conversations and reminders all arrive in the same place. A few basic habits can make an inbox easier to navigate without requiring constant attention.

Use a small number of folders

Folders such as Action, Receipts, Travel and Reference are usually more useful than dozens of highly specific categories. Keep the structure broad enough that filing a message takes only a moment.

Search instead of over-filing

Modern email search is often faster than navigating a complex archive. Useful subject lines, sender names and dates can do much of the organizational work.

Unsubscribe selectively

Messages that are never opened add visual noise. Periodically unsubscribe from newsletters and promotional lists that are no longer useful, while keeping services you genuinely read.

Mark messages that need action

Stars, flags or a dedicated folder can separate messages that require a response from those that are simply informational. This reduces the chance that an important request disappears into the general inbox.

Choose a review rhythm

Some people prefer short daily checks, while others work better with two or three scheduled review periods. The exact routine matters less than using one consistently.
